The Opportunity
The incumbent provides office managerial support to the Manager, Environmental Services and Sustainability as well as some support to other managers within the Digital and Client Services portfolio at the IWK Health Centre. The incumbent functions as a primary point of contact for the Manager responding to general information requests related to the office or referring calls to others as appropriate. Provides confidential administrative service with high quality of organizational and communication skills to assist and support the Manager in ensuring the effective and efficient operation of the office on a daily basis.
Hours of Work
Monday to Friday: 8:30-16:30
Your Qualifications
- Minimum grade 12 or GED required.
- Graduate of a recognized Secretarial or Office Administration Diploma Program is required.
- Minimum three years of experience in a related administrative/clerical role required. A combination of equivalent education and experience may be considered.
- High regard for quality and attention to detail required.
- Keyboard skills 60 wpm required.
- Advanced working knowledge of the Windows operating system, MS Office, and other software applications
- Manages general office operations such as supplies management, equipment maintenance, key control, liaison with support services, i.e. audio visual and printing, food and nutrition services, environmental services, etc.
- Competent in the use of various office equipment (e.g., fax, copier) required.
- Excellent planning, organizational, prioritization, and time management skills required.
- Self-motivated with the ability to work with minimal supervision required.
- Strong organizational and time management skills required to prioritize and complete assignments in a timely manner
- Knowledge of SAP and MAP
- Strong written and verbal communication skills, along with excellent customer service skills
- Ability to manage general office operations, including ordering supplies, equipment maintenance, environmental services coordination, expense claim processing, and maintenance of filing systems
- Ability to maintain confidentiality
- Administrative experience in a healthcare environment is required
