The Opportunity

Reporting to the Manager of Hematology/Oncology, Nephrology, and PACT, the Administrative Assistant provides high-quality administrative and organizational support to the Nephrology Clinic and the Renal Dialysis Unit. 

 Responsibilities include, but are not limited to:
• Typing/transcribing reports and project documents, faxing, emailing, and distributing as appropriate.
• Answering/referring phone calls, relaying messages with follow-up, as appropriate.
• Establishing/maintaining office filing system, manuals, and records to ensure efficient storage and retrieval of material. 
• Coordinating, scheduling, and registration of IWK Nephrology Clinic and Nephrology travelling clinic appointments.
• Arranging travel, including booking and expense recovery, as requested.
• Booking/coordinating events and meetings (including rooms & equipment).
• Attending committee meetings, taking/distributing minutes/documents, as required.
• Supporting the physician in tasks such as resident schedules
• Managing inventory of supplies and placing orders as required. Processes incoming/outgoing mail.
• Other related duties as assigned.

Hours of Work

Days of week to be determined, 0800 -1600

Your Qualifications

• Graduate of a recognized Office Administration Diploma Program required (equivalent education plus working experience will be considered).
• Minimum one (1) year related administrative assistant experience required. 
• Experience with booking and registration preferred.
• Experience with OPOR CIS preferred
• Experience with SAP preferred.
• Advanced working knowledge of computer applications (e.g., Microsoft Office) required
• Excellent planning, organizational, prioritization, and time management skills required.
• Must be self-motivated with the ability to work with minimal supervision required.
• Demonstrated excellence in communication (both verbal and written) and interpersonal skills required.
• High regard for quality and attention to detail required.
• Medical terminology knowledge preferred.
• Competency in other languages is considered an asset.
