The Opportunity
Reporting to the Lead, Resource Services, Research & Innovation Advancement (RIA), the Research Business Support works with minimal supervision and provides support for research accounting and other processes associated with facility oversight and development projects. The Business Support will also assist with human resources documentation and inquiries. Primary responsibilities will include but are not limited to:
- Provides quality support services for researchers by responding to facility and HR inquiries.
- Communicates messages and information accurately and appropriately.
- Provides support as required to the RIA shared emails.
- Assists the Lead in the administration of research facility and infrastructure accounts.
- Assists with tracking and documenting Accounts Payable, Purchase Order Requests and associated paperwork, to support review, approval and submission processes related to research facility projects
- Tracks and documents paperwork to support review and approval of research personnel
- Maintain facility records for regulatory compliance.
- Liaises with research staff, Human Resources and Payroll & Benefits for HR and payroll related issues related to approximately 240 IWK research personnel, as required
- Process special payments designated from research accounts.
- Working within RIA data bases (Grants & Awards Management, Financial Administration and Personnel / Security) ensure accurate and timely information is entered and distributed
- Assist with quality assurance reports, scan and upload documents.
- Other assigned duties as required.
Hours of Work
Monday to Friday, 37.5 hours week
Your Qualifications
- Post secondary education in business, administration, or facility management related field Minimum of 3-year experience in a related field.
- A combination of education, training and progressively responsible experience may be considered.
- Exceptional capabilities in working with MS Office required
- Strong proficiency in Adobe Acrobat required
- Ability to work independently with minimum direction and/or supervision is essential.
- Able to maintain a hybrid work environment. NOTE regular onsite presence is required
- Previous experience in similar role an asset.
- Demonstrated accurate keyboarding and data entry skills required.
- Proven interpersonal and communication skills required.
- Strong organization and time management skills
- Knowledge of SAP and other databases an asset.
- Judgment, diplomacy, and discretion in handling confidential information
- Must have the ability to function effectively in a stressful environment where multiple deadlines and concurrent activities are the norm.
