The Opportunity

Reporting to the Manager, Ambulatory Medical Care, under the supervision of the Team Leader, the Ward Clerk performs a variety of reception and clerical duties required for the efficient operation of the Pediatric Medical Unit. The Ward Clerk interacts with colleagues, patients, families, students, and the public in a respectful and collaborative manner in keeping with principles of family centered care, and Health Centre standards to meet the needs of women, children, youth and their families.

Responsibilities include, but are not limited to:

• Retrieves patient information from Meditech, contacts other Health Centres for reports, test results, and enters data.
• Supports the coordination and organization of information (e.g., Health Records and Clinic charts) during clinic, such as retrieving missing reports, preparing charts for clinics, preparing patient records to return to Health Records at the end of the day, ensuring documents are labeled correctly, etc.
• Answers phone calls and relays messages with follow-up as appropriate.
• Provides directions to patients, family members, and others as required.
• Ensure efficient patient flow during clinics.
• Processes incoming/outgoing mail.
• Delivers specimens to the lab as required.
• Registers Endocrine/Diabetes Clinic patients as required
• Provides Ward Clerk support to other areas within the Children’s Ambulatory Medical Care portfolio as required
• Other duties as required.

Hours of Work

Mondays and Alternate Thursdays (7:30am to 3:30pm)

Your Qualifications

• Minimum High School Diploma or GED required.
• Completion of a recognized Secretarial or Office Administration Diploma Program is preferred.
• Previous experience in a similar role is preferred.
• Demonstrated accurate keyboarding and data entry skills required. 
• Working knowledge of Meditech (e.g., PCI, Order entry) is preferred.
• Demonstrated proficiency with Windows, MS Office Suite (Outlook, Word, Excel, Access, etc) required.
• Demonstrated excellent organization skills, strong communication, and interpersonal skills required.
• Demonstrated strong time management, multi-tasking, and problem-solving skills required.
• Demonstrated ability to prioritize the workload required.
• Demonstrated initiative; self-motivated and able to work with minimal supervision/direction required.
• Demonstrated high regard for quality, accuracy, and attention to detail required.
• Demonstrated ability to work well with others and in an interprofessional team environment required.
• Demonstrated flexibility to meet the workload demands required.
• Knowledge of medical terminology preferred.
• Working knowledge of office equipment (e.g., fax machine, photocopier, scanner, etc.) preferred.
• Demonstrated strong customer service skills preferred.
• Knowledge of Access E-Forms Repository an asset.
• Competencies in other languages are an asset.
