About the Opportunity
Reporting to the Health Services Lead, the incumbent is the team lead for front office for planning, coordinating, implementing and evaluating clerical activities with Lunenburg Family Health, Primary Health Care. The incumbent provides day-to-day administrative support to the Managers and Leads to oversee the day-to-day activities of clerical support staff by ensuring appropriate distribution of workload to maximize efficiency and effectively meet needs; scheduling and rearranging resources during periods of staff absence; supporting timesheets and payroll deadlines; orientation of support staff and ensuring collaborative teamwork. The incumbent is responsible for processing requisitions for supplies and services for Primary Health Care; maintaining records of same and helping to ensure cost effective utilization of clinic resources. The incumbent is also responsible for working with the Managers and Leads to ensure appropriate collection and monitoring of relevant statistical and other data related to clinic operations including advanced access, scheduling and workflow.
Travel is required with this position; the successful candidate must have reliable transportation.
About You
We would love to hear from you if you have the following:
- Grade XII plus completion of a one-year secretarial diploma or equivalent
- A minimum of three years' experience in a leadership role required
- Possess excellent computer skills
- Efficient in Microsoft Word, Excel, PowerPoint, outlook, and PHC electronic patient record systems such as TELUS, Med Access, etc
- Completion of medical terminology course is an asset
- Minimum typing speed of 60 wpm is an asset
- Experience in unionized environment preferred
- Current knowledge of concepts/trends in office management
- Above average co-ordination, organization, multitasking and decision making abilities required
- Excellent communicator with highly developed interpersonal skills , tact and judgment required, confidentiality and discretion.
- Complex scheduling experience is an asset
- Above average ability to work collaboratively with support staff and management team.
- Ability to prioritize workload and work under pressure with frequent interruptions and conflicting deadlines
- Ability to work as part of a team as well as independently, without direct supervision
- Excellent time management and organization skills. Accuracy is essential; strong attention to detail
- Competencies in other languages an asset, French preferred

Hours
- Permanent full-time position; 70 hours per week
- Shifts could include days, evenings and weekends
- Travel to various sites may be required
Compensation and Benefits
$28.80 - $31.76 Hourly
